Administration Trainee
About the Role:
McTaggart Grant Lawyers is seeking a confident, proactive and detail-oriented Business Trainee to join our team. This role is ideal for someone looking to build a career in legal administration while completing a Certificate III in Business. You will gain hands-on experience in a fast-paced, professional legal environment, supporting solicitors and providing exceptional client service.
Key Duties & Responsibilities:
Front Office & Client Service
- General Reception duties, including welcoming clients in a professional and friendly manner
- Answering and directing phone calls with confidence and professionalism
- Schedule appointments and assist staff to manage diaries and schedule events
- Maintain, clear professional and timely client communication
- Help coordinate and host client events
- Handle incoming/outgoing post
Legal Administrative Support
- Prepare basic legal documents (letters, forms, templates), with a high level of accuracy and attention to detail
- File and organise legal documents (physical and digital)
- Maintain matter files in the firm’s practice management system
- Support solicitors with administrative tasks and proactively assist where needed
Records & Information Management
- Assist in opening new Matters and preparing onboarding materials promptly and accurately
- Maintain accurate and confidential records
- Apply confidentiality and privacy principles
- Update databases and document management systems
Business Operations Support
- Order office supplies and maintain resources to ensure smooth day-to-day operations
- Assist with internal reporting and data entry with strong attention to detail
- Support scheduling of client meetings and critical dates, monitor critical dates and deadlines
Workplace Compliance & Teamwork
- Follow workplace health & safety procedures
- Participate in team meetings and contribute positively to team culture
- Use inclusive and professional communication
- Apply organisational policies and procedures
Skills & Attributes:
- Strong communication and interpersonal skills
- High attention to detail and strong organisational skills
- A proactive, can-do attitude and willingness to take initiative

- Ability to maintain confidentiality
- Basic computer skills (Microsoft Office)
- Willingness to learn and develop
- Previous experience in a customer service role will be highly regarded
